What is the average cost of conference photography in the UK?

Based on a July 2026 sample of six publicly advertised UK event and conference photography price lists, the mean advertised price was approximately £500 for half-day coverage and £950 for full-day coverage.



Published prices vary considerably, however. Half-day conference photography commonly falls between £400 and £800, while full-day coverage is often around £700 to £1,500+. Multi-day conferences can cost £1,500 to £3,000 or more, depending on the programme, location and required deliverables.


These figures are a market snapshot rather than a fixed UK tariff. Photographers define half days and full days differently, and apparently similar prices may include very different levels of planning, editing, travel, image usage and delivery.


For comparison, my own conference and corporate event photography currently starts from £499 for up to around four hours and £799 for full-day coverage. Larger events, multi-day conferences and more complex briefs are quoted individually.


But conference photography pricing is rarely driven by hours alone.


You are not simply paying for someone to arrive with a camera. A professional quote also accounts for planning, experience, backup equipment, image selection, editing, reliable delivery and, increasingly, the ability to supply professional content while the event is still taking place.


For many organisers, the photographs are not merely a record of the day. They are working business assets used across websites, social media, sponsor reporting, internal communications, PR coverage and future event marketing.


I have more than 16 years of professional photography experience, including over 11 years photographing corporate events and conferences. That experience includes TUI leadership conferences, RHS summits and events, World Travel Market at ExCeL London, awards ceremonies and international business events.


I also spent nine years as Global Photography Manager at TUI and four years as Photography and Digital Asset Manager at the RHS. This has given me experience commissioning and managing business photography as well as working behind the camera.

Half-day conference photography: from £499


Half-day coverage normally provides up to around four hours of photography.


It can work well for:


  • A short leadership conference
  • Keynote speakers and panel discussions
  • A focused networking event
  • A morning or afternoon programme
  • A small conference taking place in one main room
  • Selected photographs of delegates, speakers and branding


The timings should include everything you want photographed. If you need empty-room photographs before registration, networking after the final session or an arranged group photograph, those moments must fit within the agreed coverage.


Full-day conference photography: from £799


Full-day coverage is usually more suitable when the brief includes:


  • Several keynote speakers or panel sessions
  • Delegate arrivals and registration
  • Breakout rooms
  • Exhibitors and sponsors
  • Networking during breaks
  • Awards or closing presentations
  • Venue and branding photographs before attendees arrive
  • A broader collection for marketing, PR and future event promotion


Full-day coverage also creates more time to capture atmosphere and natural interactions rather than concentrating only on the main stage.


Multi-day and complex conferences: bespoke quote


Multi-day conferences are quoted according to the programme, location and required deliverables.


The quote may need to account for:


  • Coverage over several days
  • Travel and accommodation
  • Multiple conference rooms
  • Evening hospitality or awards
  • A second photographer
  • On-site editing
  • Same-day or priority delivery
  • Consistent coverage across different venues

What is included in a conference photography quote?


A professional conference photography quote should cover more than the hours spent taking photographs.


My quotes will normally set out:


  • Pre-event planning and briefing
  • The agreed photography hours
  • Travel or other location costs
  • Professional cameras, lenses and backup equipment
  • Image selection and professional editing
  • Delivery through a private online gallery
  • The expected turnaround time
  • The agreed use of the photographs
  • Any separately requested same-day images
  • Additional photographers or assistants where required


I hold public liability and professional indemnity insurance and carry backup equipment. Conferences cannot simply be repeated if a camera, lens or memory card fails, so contingency planning is part of a professional service.



What affects the final cost?


The event schedule, not only its length


Duration matters, but the running order can matter just as much.


A four-hour event in one conference room is very different from a four-hour programme with simultaneous panels, an exhibition area and networking taking place elsewhere in the venue.


One photographer cannot cover two important sessions at the same time. Where sessions overlap, the organiser may need to set clear priorities or budget for a second photographer.


The coverage you need


A focused brief covering three speakers and a group photograph requires less time than a complete visual record of:


  • Registration
  • The venue
  • Keynote presentations
  • Panels and questions
  • Audience reactions
  • Sponsors and branding
  • Exhibitors
  • Networking
  • Awards
  • Evening hospitality

The venue and lighting


Conference venues frequently combine dark auditoriums, bright presentation screens, spotlights and mixed-colour LEDs.


An experienced photographer needs to handle these conditions without distracting speakers or delegates. Difficult lighting does not always change the number of photography hours, but it increases the importance of suitable equipment, technical experience and careful editing.

Delivery speed


Standard conference galleries can normally be delivered within a few working days. Some communications and social media teams need selected photographs during the event, on the same evening or by the following morning.


Fast delivery requires time to:


  • Transfer and back up files
  • Select the strongest photographs
  • Correct exposure and colour
  • Export files in the required format
  • Deliver them to the correct person


If continuous photography is also required, a second photographer or separate editor may be needed. Same-day delivery should therefore be included in the original brief and is normally quoted separately.


Travel and accommodation


Travel time, mileage, rail fares, parking, flights and accommodation can affect the quote.


This is particularly relevant when a conference has an early start, finishes late, runs over several days or takes place outside the photographer’s normal working area.

A real example: delivering conference photographs before the event finished


The RHS Greener Futures Summit at the RHS Chelsea Flower Show demonstrates why delivery requirements can affect the price of conference photography.


The event ran for around four hours and included multiple hosts, speakers and panellists. The brief was not simply to create a record of the event: the photographs needed to support communications and digital coverage quickly.


Throughout the summit, I alternated between photographing, transferring files, selecting images and editing. Photographs were supplied in stages instead of waiting until the complete event had finished.


By the end of the summit, the majority of the edited gallery had already been delivered.


This workflow gave the communications teams access to professional photographs while the event remained timely. It also required a different approach from standard coverage because editing and delivery had to be managed alongside the live programme.

Not every conference needs this level of turnaround. Where it does matter, however, the delivery workflow should be treated as part of the brief rather than an afterthought.




Should you book a half day or a full day?


A half day may be sufficient when:


  • The event has one main room
  • The programme is no longer than around four hours
  • Only the principal speakers and networking need coverage
  • There are no simultaneous sessions
  • You do not need extensive setup or evening photography


A full day is likely to provide better value when:


  • You need photographs before delegates arrive
  • The conference includes several sessions or rooms
  • Sponsors and exhibitors require coverage
  • Networking is commercially important
  • Group photographs need to be organised
  • The event continues into an awards dinner or reception
  • You need a varied library for several marketing channels


When a brief is close to the half-day limit, allowing more time usually produces a more varied and useful gallery. Rushing every requirement into four hours can mean losing the candid interactions and supporting details that make the photographs valuable after the event.

What information is needed for an accurate quote?


To receive an accurate conference photography quote, provide:


  • The event date
  • The venue and full address
  • Required arrival and finish times
  • The latest programme or running order
  • The number of rooms being used
  • Details of simultaneous sessions
  • Approximate attendee numbers
  • Key speakers, sponsors and VIPs
  • Any required group photographs
  • Where the images will be used

How much does a conference photographer cost in the UK?

There is no fixed national tariff. My conference photography currently starts from £499 for up to around four hours and £799 for full-day coverage. Multi-day and more complex conferences are quoted individually.

Do conference photographers charge hourly?

Some photographers charge hourly, while others use half-day, full-day or bespoke rates. I quote based on the required coverage, location, programme, and deliverables, so the agreed costs are clear before the event.

Does same-day photo delivery cost more?

Usually, yes. Same-day delivery requires editing and file delivery to take place during or immediately after the event. It may also require a second photographer if uninterrupted coverage is important.

How many photographs will we receive?

The number depends on the event’s duration, programme and pace. I provide a carefully selected and consistently edited gallery rather than promising an arbitrary number filled with near-duplicates.

Are travel costs included?

Travel requirements are agreed before booking and shown in the quote. Conferences involving long journeys, parking, flights or overnight accommodation may incur additional costs.

Is image usage included?

The quote will explain the agreed usage. Use across your organisation’s website, organic social media, internal communications and PR can normally be included. Paid advertising, third-party licensing and wider commercial campaigns may require separate terms.

When might we need two photographers?

A second photographer may be appropriate when important sessions run simultaneously, the venue is particularly large, an exhibition needs continuous coverage, on-site headshots are required, or images must be edited while the conference continues.

Book as soon as your event date and venue are confirmed, particularly for large conferences, multi-day events and busy periods. Early booking gives you more time to review the programme, identify key speakers and sponsors, plan simultaneous coverage, and arrange additional photographers if required. Last-minute bookings may still be possible, so it is always worth checking availability.
